Shape & direction

The single biggest driver of effort. One-way inbound is roughly half the work of true two-way.
Product/platform and vendor, e.g. "Yardi Voyager", "CourtReserve", "Toast POS", "a custom in-house app".
e.g. "Push every paid reservation into HubSpot as a Deal so sales can see member spend."

Timing & volume

Nightly batch is the cheapest pattern; real-time adds always-on infrastructure and monitoring. Volume decides whether a backfill and rate limits become a design constraint.

Data & mapping scope

The number of objects and fields, and how much they need to be transformed, is the core of the mapping effort.

The other system's API

A documented, well-authenticated API with a sandbox is the biggest de-risker. No docs and no sandbox is the most expensive starting point.
An OpenAPI/Swagger file, a Postman or Insomnia export, or a cURL command. Choose a file to load its text, or paste it below. This can cut discovery time a lot. Large files: paste a share link instead.

Constraints & the people involved

The non-technical factors that shape timeline and price: sensitive data, who decides, when it ships, and the budget reality.
Name, role, and whether they are internal or a third-party vendor.
Business sponsor, technical approver, budget authority.
e.g. "Sales sees member spend on every contact within minutes of a transaction, zero manual CSV uploads."
